Corporate Concierge

One number for everything around your people: travel, hospitality, events and the arrangements nobody has time to administer.

What a corporate concierge is for

Companies rarely lack capable assistants. What they lack is access - the table that is not available, the flight that has already gone, the box that was allocated last season. A corporate concierge exists for exactly the part that cannot be solved by trying harder internally.

Where it is usually applied

  • Executive and board travel, including short-notice changes and private aviation
  • Client hospitality: sport, award shows, fashion weeks, private concerts and dinners
  • Company events where the venue, the artists and the logistics have to be one mandate
  • Personal protection and cyber security for people who travel
  • Relocation and schooling for executives moving country
  • Standing arrangements for repeated needs, so nothing is negotiated twice

How it sits next to your own team

In most arrangements we are the escalation, not the replacement. The internal assistant keeps the calendar and the routine bookings; we take the requests where the answer from the open market is no. That keeps the mandate small and its value obvious.

Discretion, in writing

Confidentiality is agreed before a mandate begins. We publish no client names, no testimonials and no case studies - not even anonymised. For a service used by leadership teams, that is not a detail.

What corporate concierge services include, and what they do not

A corporate mandate gives a company one number for everything that sits outside its own operations: executive and board travel, including private aviation; client hospitality and company events; personal protection for people who travel; and the relocation, schooling and household of an executive moving country. All nine of our concierge services are open to a company. Which ones are used depends on how its people travel and whom it entertains.

What it does not include is anything that would make us a second travel desk. We do not process expenses, we do not replace the executive assistant, and we do not take over what the internal team already does well. We are the escalation for the request where the answer from the open market is no. Medical matters for travelling executives are coordinated with the group's medical brand, Veltracon Medical; medical standby and travel risk management for people on the road with Shadow ICU.

How a corporate mandate runs

  • The brief. It usually comes from an assistant, a chief of staff or the family office: what is needed, for whom, by when, and what the internal team has already tried.
  • The assessment. You hear straight away whether it can be done and what it depends on. If a request cannot be met, we say so rather than take the mandate and hope.
  • The terms. Scope, fee and confidentiality in writing before anything is committed, for a single event or as a standing arrangement for repeated needs, so nothing is negotiated twice.
  • The work. One partner holds the mandate; your assistant keeps a single counterpart and a single file. The specialists and the network work behind that name.
  • The handover. What was arranged, for whom and on what terms, documented for your records. No client name leaves the room.

Who it is for

Companies whose leadership travels often; family offices that would rather delegate the private side of a principal's life than build the function themselves; and firms that entertain clients at a level where the arrangements themselves are part of the impression. The company holds the mandate. The executive, and often the family behind the executive, holds the file; where that private side outgrows the corporate one, it continues as a personal concierge mandate or as lifestyle management. Where a family office ends and a lifestyle manager begins is set out in our journal piece on family office and lifestyle management.

How the work is charged

The industry knows three models: membership by the year, a retainer against a defined scope, and a fee per mandate. Veltracon Lifestyle sells no memberships and keeps no rate card; each mandate is priced on its own terms, in writing, before anything is committed. A company that wants a fixed frame for repeated needs gets one: a standing arrangement with a defined scope, so the internal team knows what it can ask for without asking twice.

Global Presence

Four offices, three time zones.

Executive travel does not keep office hours, and neither do we. The mandate is held in Zug; Düsseldorf, Dubai and Hong Kong hold the hours on either side of it. The Gulf office runs two to three hours ahead of Europe depending on the season, the Asian office six to seven. A change of plan at the end of a working day in Hong Kong reaches Zug late in its morning; a request from a board dinner in Europe is picked up in the Dubai office and in Asia before Europe wakes.

For a company that means a single counterpart in Europe, and the certainty that the same file is open in the Gulf and in Asia when the people it concerns are there.

Questions we are asked

Straight answers.

What does a corporate concierge do?

It gives a company one number for everything that sits outside its own operations: executive travel, client hospitality, events, security for people who travel, and the arrangements around visitors. The point is that nobody internally has to become an expert in any of it.

Who typically uses this?

Companies whose leadership travels often, family offices, and firms that entertain clients at a level where the arrangements themselves are part of the impression.

Can you handle client entertainment and events?

Yes - from a table that is not available to a Formula 1 paddock or a private concert, including the travel and security around it.

Do you work alongside an existing assistant or travel desk?

Usually yes. We are the escalation for what the internal team cannot get, not a replacement for it. That distinction keeps the arrangement cheap.

How is it billed?

Per mandate or as a standing arrangement, agreed in advance. We do not publish rates, because a single event and a year of executive travel are not comparable.

Is confidentiality contractually covered?

Discretion is the basis of the work and is set out in writing before a mandate begins. We publish no client names, references or case studies.

Which regions?

Worldwide, coordinated from Zug, Düsseldorf, Dubai and Hong Kong - which in practice means someone is awake for your people wherever they are.

Can a corporate mandate include the private side of an executive's life?

Yes, and it often does: relocation, schooling and the family's own travel when an executive moves country. The company holds the mandate and the executive holds the file; how far it extends is agreed at the start, in writing. Where the private side outgrows the corporate one, it continues as a lifestyle management mandate.

Making an enquiry

What helps us move quickly:

  • What is needed, for whom and by when
  • Whether it is a single occasion or a repeated need
  • Who our counterpart will be: an assistant, a chief of staff, the family office

What happens next

A partner reads the request personally and comes back to your counterpart on the channel you named. You hear whether it can be done and what it depends on before terms are discussed. Confidentiality is agreed before the mandate begins, and nothing is booked, bought or promised to a third party until scope and fee are agreed in writing.

Anything. Anytime. Anywhere.
